01Who we are
Ruckr is the rugby club software service operated as Ruckr Rugby (“Ruckr”, “we”, “us”). Contact [email protected] about the service, these documents or Ruckr’s handling of personal information. Your club is a separate organisation; its name and contact details should appear in its own policies.
02Stripe runs the payment; the club is the merchant
Ruckr Pay is Stripe Connect. Your club has its own Stripe account, opened through Ruckr by an authorised officer. By connecting it the club accepts the Stripe Connected Account Agreement, which includes the Stripe Services Agreement, as well as this agreement. Stripe collects each payment into the club’s account; Ruckr never holds the club’s money.
Your club is the merchant of record. The sale, membership or entry is between the payer and the club. Ruckr supplies the software and the connection to Stripe; it is not the seller, the tournament host or the holder of a member’s club funds.
The club has no separate Stripe login. It runs its Stripe account from Ruckr’s screens: the account’s status, what Stripe needs, payouts, refunds, disputes and the ways to pay. Stripe’s emails about the account link back to those screens.
03Verification and keeping the account in good standing
The club must give accurate organisation, representative, owner and bank details when Stripe asks, keep them current and complete Stripe’s checks. Stripe may hold a payout, ask for more information or restrict the account under its own terms while it checks; Ruckr shows the club what Stripe needs and cannot override Stripe’s decision.
Only authorised officers should manage the account. Never share sign-in details, act on a bank-change instruction without checking it, or put complete card details in a message or a support request. Payments may only be taken for the club’s own activities, never for anything on Stripe’s list of restricted businesses.
04The price shown to payers
The club must describe what is being bought, the full price, any service charge, collection arrangements, any recurring schedule and its refund policy before the payer agrees. A description in Ruckr does not make an unfair or unlawful charge lawful. The club is responsible for its taxes, receipts, sales rules and the consumer information it must give.
Do not misdescribe a donation, fine, ticket or membership. A guardian or other payer must be told whose charge they are paying. A saved payment method or Direct Debit mandate may only be used within the permission and the notices that apply to it.
05Fees: Stripe’s processing fee and Ruckr’s 0.5%
Two fees come out of every successful payment before it settles in the club’s balance. The first is Stripe’s processing fee for the way the payer paid, at Stripe’s published UK prices, deducted by Stripe under the club’s Stripe account terms. The second is Ruckr’s application fee of 0.5% of the amount collected, including any service charge, which Stripe collects for Ruckr from the same payment. There is no Stripe fee on the 0.5%, and Ruckr takes nothing else from the club’s balance.
The public rates on the Ruckr Pay page combine the two. A standard UK card payment costs 2% plus 20p in total: Stripe’s 1.5% plus 20p and Ruckr’s 0.5%. Apple Pay and Google Pay follow the rate of the card used. Bacs Direct Debit costs Stripe’s 1%, at least 20p and at most £4, plus Ruckr’s 0.5%. Other cards, Klarna, currency conversion and instant payouts have different Stripe prices, shown on that page, and Ruckr’s 0.5% applies to each. A rate Stripe agrees with a club directly changes the Stripe part only.
Ruckr Pay is included in the club’s subscription with no monthly charge of its own, and these fees apply during the trial. Ruckr’s 0.5% includes any VAT Ruckr must charge; Ruckr is not currently VAT registered, so no VAT invoice can be issued for it until it is. We will tell clubs of a change to Ruckr’s own fee at least 30 days before it takes effect. Stripe’s prices change under Stripe’s terms.
06The club’s service charge
The club can carry the fees or add a service charge to what payers pay, at a rate it picks on Billing of up to 2% plus 20p, which at the top matches Stripe’s standard UK card price plus Ruckr’s 0.5%. It is one club-wide setting, on or off for everything the club sells through Ruckr Pay, and it never applies to a deposit that is given back or to a sponsorship.
The same rate applies however the payer chooses to pay; it must not be a surcharge for picking a particular card or method. Ruckr shows the charge and the total before anyone pays. It helps offset the fees and may not cover every one, since the fees apply to the total collected; the club covers the rest. The club must make sure the charge is lawful for its sales and included in its price information where that is required.
07Refunds
The club decides refunds, subject to its own terms and the payer’s statutory rights, and makes them from Ruckr’s screens. A refund is paid from the club’s Stripe balance. Stripe’s processing fee is not returned on a refund; Ruckr’s 0.5% is returned in proportion to the amount refunded, and both show in the payment’s record. A payer’s entitlement to a refund is not reduced because a fee is kept.
08Disputes, chargebacks and negative balances
A card dispute or a Direct Debit indemnity claim is handled on the club’s Stripe account under the card scheme’s and Stripe’s rules. Ruckr shows the dispute and takes the club’s evidence to Stripe; the club must answer by the deadline shown and tell the truth in what it sends. If the dispute is lost, Stripe takes the disputed amount and its dispute fee, £20 at Stripe’s current UK price, from the club’s balance; if it is won, the amount comes back and the evidence fee is returned.
A negative balance on the club’s account is the club’s to settle with Stripe under its account terms, by its next payments or a payment to Stripe. Ruckr does not decide a bank’s outcome, guarantee recovery, or debit the club’s balance for anything other than the 0.5% Stripe collects on each payment.
09Payouts
Stripe pays the club’s balance to the club’s nominated bank account on the schedule shown in Ruckr. When money arrives depends on the way the payer paid, Stripe’s checks, bank processing and any reserve or hold Stripe applies. A successful payment is not a promise of an immediate payout, and a Direct Debit can later be returned. Check the payout records in Ruckr before treating money as available.
Standard scheduled payouts are free. An instant payout, where Stripe offers it, costs Stripe’s 1% with a 40p minimum. Ruckr does not promise a settlement time or compensate a club because Stripe lawfully holds or delays a payout.
10Instalments, Direct Debit and Klarna
The club sets its membership and instalment arrangements and must explain the total, the collection dates, how to cancel and what happens after a failed collection. A reminder is not permission to collect a different amount or a different debt. A Direct Debit mandate is the payer’s own and may only be used for the charges it was given for.
Klarna is optional for the club and the payer, subject to Klarna’s availability and eligibility. The payer makes a separate agreement with Klarna, which decides its credit terms; Ruckr and the club do not guarantee acceptance. The club’s service charge applies to a Klarna payment as to any other.
11Payment information and complaints
The club must explain its use of payment information in its own privacy notice and keep finance access to the people who need it. Do not put medical details or a safeguarding narrative in a payment description or a dispute upload. Stripe keeps payment records for its own fraud, accounting and legal duties; disconnecting from Ruckr or deleting an app account does not erase them.
Raise a purchase or refund question with the club first, a Ruckr software problem with Ruckr, and a complaint about Stripe’s regulated service through Stripe’s own process. Nothing here stops a payer using a statutory remedy, a bank’s dispute process or a regulator.
12Ending Ruckr Pay
A club can stop taking payments through Ruckr at any time; payments already taken, refunds owed, open disputes and any negative balance remain the club’s under this agreement and its Stripe account terms. The Stripe account is the club’s and stays subject to Stripe’s terms. Ruckr may suspend a club’s payments where Stripe restricts the account or where the club is in material breach of this agreement, and will say why.
13Changes and the version you are shown
Each document shows its version date and review status. Material changes must be explained to the people affected before the new processing begins, with any further notice required by law. A public page is the current explanation; an acceptance record must identify the exact document or notice shown at the time.
Reading a privacy notice acknowledges information; it is not blanket consent. Where a club relies on consent for a changed purpose, recipient or activity, it must obtain a fresh, specific choice before that new use. Silence, continued membership and an earlier yes do not authorise an expanded consent-based purpose. Necessary processing based on a different lawful basis must be assessed and explained separately.
14Stripe’s terms
Ruckr Pay is operated by Stripe. The club’s Stripe account is governed by the Stripe Connected Account Agreement, which includes the Stripe Services Agreement, and by Stripe’s privacy notice; those documents set Stripe’s own obligations and the club’s obligations to Stripe. Stripe’s published UK prices and the combined Ruckr Pay rates are on the Ruckr Pay page.
