01Who we are
Ruckr is the rugby club software service operated as Ruckr Rugby (“Ruckr”, “we”, “us”). Contact [email protected] about the service, these documents or Ruckr’s handling of personal information. Your club is a separate organisation; its name and contact details should appear in its own policies.
02Who you are paying
The club shown at checkout supplies the membership, event, ticket, goods or other club service. Ruckr provides the software and Ruckr Pay connection. Keep the receipt and the club’s description and terms. A payment confirmation is not an endorsement by Ruckr of the item or event.
03Before you pay
The club must explain the item or service, seller contact, full price and required charges, delivery or collection, eligibility or restrictions, any renewal/instalment schedule and the applicable cancellation/refund terms. Payers must be able to check the total before committing.
A club-wide service charge, if enabled, is up to 2% plus 20p and is the same whichever payment method the payer chooses. Optional payment-provider terms are separate. Do not put another person’s payment details into a form without their authority.
04Memberships, events and goods have different rules
Rights depend on what is purchased and how it is sold. A dated event ticket, personalised kit, a donation and an online service subscription can have different cancellation rules. The club must assess and explain the rules that actually apply; this policy does not declare every club purchase non-refundable or promise a universal cooling-off period.
Changing a member’s status or cancelling a fixture does not automatically settle a payment dispute. The club must apply its disclosed terms fairly and honour mandatory consumer rights, including remedies for faulty goods or services where applicable.
05Refunds and complaints
Contact the club’s published finance, membership or event contact with the payment reference and problem. Avoid sending complete card details or unnecessary sensitive information. The club should explain its decision, timescale and escalation route.
Ruckr can help identify a technical issue or route an enquiry but does not decide the club’s refund policy. A payer can still use applicable statutory rights, a bank or provider dispute route, or an appropriate external complaint process. Retained processing costs do not override a payer’s legal entitlement.
06Payment records and marketing
The club and payment provider keep the information needed to process the payment and meet their legal duties. Buying a ticket or paying subs does not automatically opt you into unrelated marketing or permit the club to give your contact details to sponsors. See the club notice and provider register for the relevant processing.
07Changes and the version you are shown
Each document shows its version date and review status. Material changes must be explained to the people affected before the new processing begins, with any further notice required by law. A public page is the current explanation; an acceptance record must identify the exact document or notice shown at the time.
Reading a privacy notice acknowledges information; it is not blanket consent. Where a club relies on consent for a changed purpose, recipient or activity, it must obtain a fresh, specific choice before that new use. Silence, continued membership and an earlier yes do not authorise an expanded consent-based purpose. Necessary processing based on a different lawful basis must be assessed and explained separately.
