01Who we are
Ruckr is the rugby club software service operated as Ruckr Rugby (“Ruckr”, “we”, “us”). Contact [email protected] about the service, these documents or Ruckr’s handling of personal information. Your club is a separate organisation; its name and contact details should appear in its own policies.
02A board for introductions
Find a game helps clubs publish an ask, offer a team and record an agreed fixture. Ruckr provides the board and diary tools; it is not a party to the match agreement, a match organiser, a referee appointment service or a guarantor that another club will attend. A listing is not Ruckr’s endorsement or verification of a club.
Use the marketplace only if you are authorised to arrange fixtures for the team. Information about the team, level, age group, date, home/away preference and facilities must be accurate. Do not publish player medical information, private contact lists or unnecessary information identifying children in a listing.
03Offers and confirmation
An ask or offer is a proposal until the clubs agree the details. Before accepting, confirm the teams and playing level, age/eligibility rules, venue, kick-off, travel, officials, pitch suitability, changing facilities, first aid, insurance and any costs or hospitality. Record important conditions in a form both clubs can keep.
Accepting an offer can create linked diary entries and decline other offers. Check the recorded fixture and tell the other club promptly about a correction. A diary entry does not prove that all safety, insurance or governing-body requirements have been satisfied.
04Costs, cancellation and no-shows
Clubs must agree any pitch, official, travel or other contribution and a fair cancellation/weather arrangement before committing. Ruckr does not impose an automatic compensation scheme, cancellation penalty or refund entitlement between clubs. If a payment is collected through Ruckr Pay, its payment terms apply as well.
Notify the other club directly and update the fixture when circumstances change. Do not rely only on a dashboard entry or an unread notification for an urgent cancellation. Resolve disputes between the clubs in the first instance; report scams, harassment or platform misuse to Ruckr.
06External links, moderation and availability
Where a club shares a response link outside Ruckr, it must send it only to appropriate recipients and protect any private information it contains. Link access is not proof of a person’s authority. Clubs should verify counterpart contacts independently where a request is unexpected.
Ruckr may remove misleading, abusive, unlawful or unsafe listings and restrict misuse, with a route to query mistakes. We do not promise that opposition, an acceptable offer or a particular fixture will be available.
07Changes and the version you are shown
Each document shows its version date and review status. Material changes must be explained to the people affected before the new processing begins, with any further notice required by law. A public page is the current explanation; an acceptance record must identify the exact document or notice shown at the time.
Reading a privacy notice acknowledges information; it is not blanket consent. Where a club relies on consent for a changed purpose, recipient or activity, it must obtain a fresh, specific choice before that new use. Silence, continued membership and an earlier yes do not authorise an expanded consent-based purpose. Necessary processing based on a different lawful basis must be assessed and explained separately.
